Checklist and Timeline for Wedding Invitations


carlson_craft_invitations_san_antonio Here is a general invitation guideline to make sure you stay on schedule as you plan your wedding. The entire process from start to finish can take six to eight months so please don’t wait until the last minute to order your invitations. Use this guide while planning!

  •  1 Year – Your engaged! Set a wedding date and then start to gather your list of potential guests you would like to invite (the “A & B” list). This is important so you know the size of the venue you need to book. You would hate to book a venue for only 150 guests and then at the last minute you forgot to add guests and then the venue becomes too small. Plan ahead!
  • 9 Months – Start searching websites, Pinterest and magazines for invitation style NYSS-Booth_20x36_4-2014.inddideas and start narrowing down the style/look/feel you are wanting. Depending on the formality of the wedding you will want to start thinking about all the enclosures you intend on including as well. Think about hotel accommodation cards, direction cards, reception cards, etc.
  • 7 to 8 Months – Decide on how you want to create your invitations. If you decide upon creating a custom invitation from a stationer this is the time to collect your ideas for it. You’ll want to order your save the date cards (from “A List”). Be sure you’ve gathered all your guest’s addresses!
  • 6 Months – If creating your own invitation you’ll want to meet with the stationer and start the process. Be sure to mail the save the date cards by now!
  • 5 Months – If ordering your invitation by templates this is the time you’ll want to meet with a stationer and decide on your invitation. You can view invitations through online storefronts or in-person so you can actually see them. You’ll finalize the wording and enclosures as well. A stationer can recommend calligraphers as well at this time. You’ll want to call them and make sure they know you’ll be using them to address the envelopes.
  • 4 Months – Invitations should be ordered and received during this month. Be sure to always request a proof for your invitation, this is a tip I always recommend! Also, order extra invitations for the “B List” and/or envelopes for accidental mess ups. Once invitations come in you’ll want to get the envelopes to the calligrapher to address or you’ll need to address yourself at this time. Be sure to have a typed out list of guest’s names/addresses so mistakes aren’t made for not being able to read someone’s handwriting.NYSS-Booth_20x20_4-2014.indd
  • 3 Months – Address the envelopes (allow 3-4 weeks). Go to the post office and weigh everything and purchase the postage needed.
  • 10-8 Weeks – Assemble and seal invitations, apply postage. Request hand-cancelling at the post office so the invitations do not go through their machines and mail. Be sure to mail out from the “B List” as regrets start coming in. Place your rehearsal dinner invitation order.
  • 4 Weeks – Last chance to mail out the “B List”. Mail out the rehearsal dinner invitations (or inform responsible party) and post wedding brunch invitations if applicable.
  • 2 Weeks – Contact guests that have not rsvp’d. Normally, caterers need 10 business days prior to the wedding for the final count so get that to them as well. If you are using a seating chart be sure to get this to your wedding coordinator and caterer as well.
  • THE BIG DAY – Try and relax and have a great time!!

I have been working diligently this past month ordering invitation albums, learning all the etiquette, affiliating myself with printers and invitation companies, learning their ordering process, and updating my website. I have been so excited about when I could finally launch and tell the world that I now offer invitation services. The time has finally come!

I have actually been dealing with invitation companies for over 9 years with my previous company, Royal Tea Princess Parties. I ordered in bulk, created all the invitation wording myself and took orders for my customers, typeset the invitation, sent the proof, printed them myself and then mailed (or even dropped them off – I really feel strongly about customer service!). Importance of Wedding Timelines

email_postcard_timeline_1000As a new bride-to-be do you know what a “Day Of” timeline is? A timeline is the chronological order of events that occur the entire day of your wedding. It can start from when you wake up in the morning all the way until you leave the reception. When I create a timeline for my couple I like to know what/where they will be prior to the ceremony and always include that in the timeline. I include all the tiny details including when vendors are arriving to set up, special songs, names of those giving toasts, blessings or announcing, what the DJ will announce, when vendors leave and even details of when I will be loading the car with the gifts. Nothing is left out! I do this so everyone (the couple, vendors, & myself) are aware of what is to occur throughout the day so everything goes smoother and if something does go wrong we can correct it more easily.

Besides the “Day Of” Timeline, there are other timelines the wedding coordinator can create.

  • Bridal Party Timeline – Would include activities & duties of the bridesmaids & maid/matron of honor
  • Groomsmen’s Timeline – Same as bridesmaid’s
  • Vendor Timeline – A separate timeline that gives the vendors just the times/details of what they would need to know for the “Day Of”
  • “Week Of” Timelines – Great for destination weddings (planner & guests would have separate timelines)

I go a step further and supply the couple with the order of the processional for the ceremony. The list would consist of all the full names and phone numbers of the wedding party and those participating in the ceremony. I like to have their numbers just in case they are missing and I need to locate them.

I then create the list for the announcing of the wedding party for the reception. I give the DJ a copy of this a few days prior so he has time to figure out all the pronunciations of all the names. I also verify with the bride and groom how they want to be announced as entering. For example, I now present you with Mr. and Mrs. Daniel and Shellie Smith.”

  • Limited Number of Guests- One downfall to having a destination wedding is that you can only invite a few people. Even if you want to invite more, there is always a chance that they will decline; especially if the venue is somewhere very far. For this reason, you will only be inviting the ones who are closest to you and your fiancé.
  • Legalities- Another problem you will have to face when having a destination wedding has something to do with the legalities imposed in that country. If you are interested in having your wedding in another country, you will have to check with its requirements and ensure that you comply with the necessary paperwork.

Why Should You Have a Christmas Wedding?

During December, there are many people who choose to have a winter themed wedding. But contrary to their reasons for doing so, a winter wedding is actually a more expensive choice. Instead, it is really recommended that you have a Christmas wedding. If you are wondering what sort of benefit you can get from this, here are a few of them:

  • Cheaper Decorations – Compared to a winter wedding, you don’t have to worry about spending too much on your venue decorations. The reason for this is that during December, people will be decorating their homes and businesses with appropriate decorations in line with the upcoming holidays. As such, you don’t have to incur extra costs on decorations. All that’s left to do is enjoy the decorations and have your photos taken with them.
  • Alcohol is Not a Necessity – With any type of wedding, it can really get expensive to serve alcohol and have an open bar. During Christmas, however, you may opt for a hot chocolate bar. My niece is getting married December 21st. She is on a budget and stayed well within her means. She got a great deal on a tented reception at the Botanical Gardens (with heaters). She will have a hot chocolate bar and small finger foods. She recruited her talented friends/family for help and she made decorations and even her own bouquet to help save money.
