Planning Tips For A Stress-Free Wedding – San Antonio Wedding Consultant

inspiration board_kimAs a wedding consultant, I have worked with all types of brides when it comes to planning their wedding. At that initial consultation, I really get a sense of what they are like by how organized they seem to be, how much they have already planned before even meeting with me, how many Pinterest photos they have on their phone to show me, and how much they talk while I listen. The #1 reason why they have contacted me and considered hiring a wedding consultant is TO BE STRESS-FREE ON THEIR WEDDING DAY! They are the ones that get it and I LOVE IT!

I’m going to walk you through tips on how to stay calm during the wedding planning process.

1. Make lists and keep organized

Make lists of what you need to do and keep organized by having a large binder where you can keep all your photos, contracts, notes, and receipts. Just be sure to not forget it when going to vendor appointments. I have seen this happen all too many times. As far as the lists…make them small, maybe a list of 4-5 items at a time so you do feel so overwhelmed. Also, feel free to delegate tasks to family members and friends. They would probably love to help you, just ask! The great thing about the internet, magazines and PLANNERS is that they all can provide you with a detailed monthly to-do-list during the wedding planning process. It will keep you on track on where you should be at which month and in what order you should plan everything. 2. Hire great vendors

Attend bridal shows, open houses, ask friends that have already gotten married and read reviews on the internet to find great wedding vendors. Also, be sure to interview vendors before choosing one. In some of my past blogs I included lots of questions to ask different type of vendors. Please go back and read some of those blogs to get those questions. By choosing established vendors with good reputations you are in a win-win situation and you ensure a stress-free wedding day.

3. Take a break

If you are planning everything yourself you need to take some time off to get your mind off of it, occasionally. Please do this! Just relax for a weekend enjoying other things with your fiancé or friends. You will feel refreshed after a relaxing weekend with them. I have found that more often couples are planning their weddings more than 1 year in advance – you have plenty of time! There is no reason to rush through it all. After you have locked in the venue, the most important piece to the wedding, then just relax for a bit and get refreshed before tackling the to-do-lists.

4. Wedding issues can be resolved

If something doesn’t feel right or doesn’t quite go your way then step back from the situation and discuss it calmly with your fiancé or parents first and then with the vendors. A solution can happen. Most vendors will go over and beyond to ensure the couple is happy and will help to resolve the issue in any way. If they don’t, then maybe they aren’t the right fit for you. Hopefully, they will return your deposit and you can move on to another vendor that is a better fit.

5. Don’t sweat the small stuff

This is where I have seen brides across all spectrums…the laid back, easy going, happy about anything bride to the very detailed, organized, uptight bride that can’t relax on her wedding day. I feel so sorry for those 2nd type of brides. My job as a planner is to ensure a stress-free day for the bride but sometimes there is nothing I can say or do to change this. I work so hard behind the scenes to make sure everything is set up, vendors have arrived, the wedding party has what they need, and so much more. The bride has to trust me that I will take care of everything so she CAN relax. If something does go wrong (ex. starting late, someone in the wedding party doesn’t show, a vendor messes up in some way, etc.) please, please, please just try and brush it off and don’t worry about. Most of the time no one even knows what went wrong. Think about all the great things that went right that day…you’re getting married!

6. Hire a wedding coordinator

I have mentioned several times in this blog just how valuable a wedding coordinator can be to having a stress-free day. I hope you seriously think about the advantages to having one! How to find the perfect caterer? – San Antonio Wedding Consultant

There are so many options when it comes to the type or style of food you want to serve at your wedding. I’ve discussed those options in a previous blog, Catering Ideas For Every Style Wedding. In this blog, lets talk about how to find that perfect caterer that fits your needs and budget and has great tasting food! Here’s a list of what you need to do…

  • After booking your venue the next step is booking your caterer. This will be your most expensive part of the wedding budget and most important.  In San Antonio, I recommend 8-12 months out to ensure you get the caterer you desire. You’ll want to contact 4-5 caterers and ask them initial questions to make sure they even offer the type or style of food you are wanting. Some of those initial questions might be:

1. Can you accommodate vegetarians or gluten free guests?

2. We want a special dish served, can you accommodate that?

3. Do you help with the set up of the table and chairs?

4. Do you travel outside of your local area?

5. Do you offer other services such as bartending, linens, china, etc.?

  • You’ll contact each one and ask these initial questions and be sure to write everything down. They will start to all run together so be sure to take good notes. Also, give the caterer a chance to ask questions as well. They’ll want your basic information such as wedding date, amount of guests and venue location. During this fact finding conversation the caterer should tell you what their charges cover. If not, ask. For example, the company might not cover alcohol or cake.
  • As you are taking notes be sure to also make personal reaction notes of each caterer and the feeling you received from each of them. If they were courteous, excited to work with you and kind. At this time you may be able to cross a couple of the caterers off your list. But, please be sure to write an email to those you didn’t choose thanking them for the time they spent speaking with you. You don’t want to leave them guessing and wondering.
  • Once you have narrowed down your list to 2-3 caterers it is time to go in for an appointment and ask more detailed questions about the menu and services you will want. Here are what you will need to talk about:

Will you have a buffet, sit down, food stations or passed hors d’oeuvres only?

What you can get within your budget.

The types of food you are wanting and those that they specialize in.

Extra services such as bartending, late night snack, specialty tables such as ice cream, chocolate, coffee, or dessert bar.

  • After this meeting, the caterer should prepare you an initial proposal and cost estimate. It doesn’t mean you have to stick with what they are proposing or the food they list but is just merely an idea of what to expect to pay. If there are a couple of caterers that fall within your budget and you like what you have seen so far, then it is time to make my favorite appointment with them….the taste testing!

  • Caterers that I have dealt with will usually offer the client a private taste testing at their establishment giving them options of the type of food they want to serve. I have also seen caterers have open houses where more clients come in and try an assortment of different types of food. One of my couples did this and then scheduled a private taste testing with her family (and me) to try foods they liked at the open house plus a few others that the family wanted to try. There were 6 of us! At this taste testing, this is where you’ll  narrow down the food decisions for your cocktail hour, dinner and any after dinner snacks or special tables.

  • The caterer will then present the couple with a revised proposal based on the food and service that was chosen. This proposal should outline all the details of what they will be providing. This could include linens, dinnerware, cake, setting up of table and chairs, bartending, rental items, staff, and more! It is important to review all the details of the proposal and make sure you understand all fees.

What they charge for service fees.

What their delivery, set up, clean up fees are.

How many staff you are getting charged for.

What the tax is.

Do they charge you to cut and serve the cake?

What is the deposit required?

  •  The last step is choosing your caterer. In the proposal, it should clarify the payment structure and serve as the contract with an agreement page. There is still opportunities to make changes. I have had couples make changes up to 1-2 weeks prior to the wedding (even though the caterer probably frowns upon this). One important piece of advice…always tell the caterer a lower number for your guest count because you can always go up in the count later on but you can’t go down without having to pay the same amount. They normally need a final count 10 business days before the wedding date. After this day, if you need to lower the guest count you will still have to pay for the amount of guests you told them at 10 days prior.

Should I use videography for my wedding? – San Antonio Wedding Coordinator

I just received a beautifully done highlights video from Christian Ellis Images and decided to use this blog to talk about your videography for your wedding this week. This video is of a couple I helped coordinate their wedding for at Spinelli’s in Comfort, Texas. Lets watch the video first and then talk more about this important topic for your wedding. How important is videography for you? As a coordinator, I see it vary from couple to couple. Some MUST have it while others just don’t care. I think that it should be an important part of your wedding. What is nice is that the videographer can create a 4-7 minute highlight video so you don’t have to fast forward through all the raw footage. You can then share this short video to all your friends and family. What a great way of remembering your wedding with these videos!

I have to tell you a funny story about my own wedding (years before I was a coordinator). I just didn’t have it in my budget to hire a professional videographer so we had “Uncle xyz” film it with his camera. I don’t even know where to begin. The camera moved constantly, he would zoom in and out all the time, you couldn’t hear anything and he videoed so much pre-stuff that his camera went dead after the ceremony!!! I got 30 seconds of my reception. I was a little upset about this. Plus what he got isn’t good at all, sorry Uncle xyz (I changed the name to protect his identity, lol).

There are different styles of videographers in San Antonio that each have there own unique look and feel to their videos. There are the crisp, modern feel, the romantic & dramatic ones (like above), and the movie-like ones as in the one above plus the following. Crissman Videography is a videographer that my couples have used numerous times and his work is spectacular. He is always trying to improve himself and is currently working on ariel shots through a drone he just purchased. That is pretty cool! Here is a highlights video he did at a wedding I coordinated at the La Orilla Ballroom.

During the interview process be sure to ask the videographer these important questions:

  1. What do your packages consist of?
  2. Do I need you before the ceremony? (if you want a little of the both of you getting ready then, “yes”.)
  3. Do you have some videos I can see? (be sure to watch some of these before signing a contract)
  4. Do you do any special effects in your highlights video?
  5. What sets you apart from other videographers?
  6. What is your deposit? When is payment due?
  7. Will you have more than 1 camera person?
  8. What do you wear? (some are more casual than others so you’ll want to be aware of this especially if it is a formal event).
  9. How long will it take to get the video back?
  10. Will I have the rights to send it to whoever I like?
  11. What if I decide the day of that I want you to stay longer than originally agreed upon?
  12. Can I choose the song for the highlights video?
  13. Will I get all the raw footage that you shoot?
  14. Will you use mics for the ceremony?
  15. Can we have guests come up to you and say something to us for the video?

It is important to ask the potential videographer all these questions because each one has their own rules, packages and timeframes for doing everything. I encourage you to try and budget for a videographer so you will always have the special moments of your wedding you can reflect on in the years to come. As a coordinator, my job is to…

Budget Friendly linen and decor ideas for your wedding – San Antonio Coordinator

Last week I got a little off track when I talked about my wedding and also gave you easy ideas for creating a “Royal Inspired” wedding. I guess I had to brag a little about my wedding because of course, every bride thinks their wedding was the absolute best and I DO share my wedding day with Prince William and Princess Kate. Ok, ok, lets get back on topic with my latest blogs….how to plan the perfect wedding. I have already discussed the venue, catering, photography, and flowers. Now I want to tell you about some great ideas on the look you are trying to achieve but maybe on a tight budget.

For many brides, the most important part of the planning process is the linens and decor. It can be fun going to a rental or linen company and mix and match color combinations with the main linen, table runner, and overlays. As a planner, I carry around a color wheel from a paint store so we can “play” with colors. I have worked with all kinds of brides…those that know exactly what they want the room to look like to those that really have no clue and look to me for ideas and suggestions. I consider myself creative and have seen a lot so I’ll use my expertise to ask important questions and from there make recommendations. Let’s go over some budget friendly ideas you can use for your reception.

Some venues include white, ivory or black linens. Definitely take advantage of this and use theirs. That can be a big savings. Some venues even offer in-house center pieces that are included as well. They might look a little worn but maybe consider jazzing it up a little with a few fresh flowers, bling, branches, etc. At Rio Cibolo Ranch they offer boot centerpieces with fake flowers inside them. Maybe add a bandana, a small rope or fresh flowers and you’ll get a new look! If you do have to purchase the linens from the venue they will probably be at a cheaper rate than you might find elsewhere. Olympia Hills Golf & Event Center does just this.

If you do need to rent your linens then normally, polyester will be cheaper than other fabrics. You can use that kind to help save a little there. Another idea is to purchase the linens wholesale and then sell all of them after the wedding to recoop maybe half of your cost. I have had several past brides do this.

Forgo on the overlays and runners. If you really had your hearts desire on something creative on the table you can use fruit or party favors for each place setting. Or how about votives, framed pictures of the two of you, petals, antique items you find from garage sales, grandma’s doilies, cheap fabric you find on clearance as runners. The ideas are endless! If you are going for a rustic look why not cut a tree up and use the trunk and limbs for center pieces, table number holders and candle holders. The ever popular mason jars and painted and twined wine bottles are a winner too.

Craigslist and Ebay are great ways of finding good deals from other brides that are trying to sell their wedding items. Look on there regularly. Postings can pop up at any time.

Shop around for rentals such as vases, candelabras, candle holders, or other unique pieces. You never know who might be having a special. If you go to a bridal show, that might be a good opportunity to get a good deal on something you may need.

For my couples, I offer rental items that I know they would need such as cake stands, easels, table numbers, chalkboards, baskets, birdcages, etc. As an incentive for using my coordinating services I offer 2 items for free and the rest 50% off for my day of services and 4 free with my full planning. My couples love this! See if coordinators in your area might offer something like this too.

San Antonio Wedding & Color Inspiration Boards

 

inspiration board_kimLast September, I wrote a blog, “Choosing colors for your wedding based on symbolism.” It ties in with this blog in the fact that I have created a new category on my website called, “Inspirations & Tools.” I created a page, Event Inspiration Boards,  where I designed wedding inspiration boards from past clients to show a wide variety of style, themes, colors and ideas that you can create for your wedding. I did talk about each of the weddings in what their inspiration was.

I used wedding inspiration boards provided by Carlson Craft Invitations (a company I use for my own invitation services) with many color palettes. I also listed color symbolism for most of the colors and also mentioned the Pantone colors of the year. Be sure to click on the link to find out what those colors are…hint, hint.

Under “Wedding Tools“, I have several links to pdf’s where it can help you with the planning process. I do intend on adding more links to other pertinent information soon.

Can’t decide on a color palette for your wedding? Why not decide on your wedding colors based on the symbolism of that color to incorporate some meaning into your wedding! Here is a list of positive connotations in helping you decide.

Red – passion, love, celebration, joy and good luck
Pink – romance, charm and tenderness
Orange – energy, vibrance, warmth, change
Yellow – happiness, cheerfulness, peace, courage, hope and faith
Blue – loyalty, fidelity, unity, peace, eternity
Green – life, nature, fertility, abundance, hope and equality
Violet/Purple – royalty, mystery, spirituality
Silver – richness, purity
Gold – life, prosperity, royalty

I suggest you tie it together with printed signs at the reception, a note in your invitation, pictures depicting the symbolism at your wedding events, etc., to let the guests know why you chose the colors you did.

Something to keep in mind…

You can see from these inspiration boards how colors can change the entire feel and look of your wedding. Color can warm the space up to give an intimate setting or brighten the room up to give a more light and airy feel. Choosing your color combinations are important and if you are having trouble trying to decide have a wedding planner help you. As myself being a wedding coordinator/planner, I would ask important questions about what style, feeling and experience you are trying to portray with your wedding and recommend color combinations that go together. If there is a special tie to certain colors based on family customs/beliefs, special memories, etc., I would want to know that as well.

The Pantone color for 2014 is Pantone 18-3224 Radiant Orchid. Use this color for a trendy, popular look. Why not try something different? Ultimately, the colors come from the couple and what you like. Get creative!
